Automatically extract data from documents

Complete workflows faster by automatically extracting key information from the mail and sending it directly to the systems where work happens.

Data Extraction automatically reads your incoming mail and pulls out the fields that matter to you (things like claimant names, policy numbers, invoice amounts, or due dates) so you don't have to open every PDF to find them.

With Data Extraction you can:

  • Read specific field values directly in your dashboard without opening a PDF

  • Copy extracted data into your system of record faster and more accurately than highlighting text from a scan

  • Push structured data automatically into other systems (like Salesforce, Zendesk, etc.) via webhooks or the Stable API


View extracted data in your dashboard

When a mail item has been processed, its fields appear directly in the mail details view.

  1. Open a mail item from your dashboard.

  2. Look for the Extracted Data section in the detail panel.

  3. Copy any field value directly from the panel.

We recommend copying the extracted data over copying from the PDF. These tend to be cleaner and more reliable than highlighting text from a scan.

We can also automatically show where the extracted data is found in the scan.

  1. Click the arrow next to any document type in the mail details

  2. When viewing the scan PDF, notice the data highlighted in yellow


Request new document types or fields

Data Extraction is configured per document type. If you receive mail that isn't being extracted yet, or you need additional fields from a document type that's already configured, you can request changes directly from any mail item.

  1. Open any mail item β€” it doesn't need to have a document type assigned already.

  2. Click Customize.

  3. Select a request type, describe what you need, and submit.

To get the fastest turnaround: be specific about field names and note where on the document each field appears. Submit one request per change so the team can track each one separately.

What happens next: Stable's team updates your extraction rules and emails you when they're ready. Future mail matching that document type will extract automatically.


Push extracted data to your own systems

If you want extracted data to flow automatically into other tools, Stable supports two integration paths.

Webhooks fire automatically each time extraction completes. Use them to:

  • Post a new record to platforms like Salesforce or Airtable the moment a document is processed

  • Trigger a custom workflow through tools like Zapier or n8n workflow that routes data to the right place

  • Alert your team when a time-sensitive document arrives with its key fields already parsed

The REST API lets you fetch extraction results on demand. Use it to:

  • Build a custom data pipeline that pulls from Stable into your internal platform

  • Query results for a batch of mail items and export them for downstream processing
