If a piece of mail contains sensitive information you don't want stored in Stable, you can redact the scan directly from your dashboard. Stable will permanently delete the scanned PDF and replace it with a generic redacted notice.
When to redact a scan
You might want to redact a scan if:
The scan contains personal information (PII) you no longer want stored
The scan contains protected health information (PHI)
You're cleaning up sensitive scans to meet a data retention policy
A piece of mail was scanned by mistake and you want the contents removed
How to redact a single scan
Open the piece of mail in your dashboard
Click the Redact option from the menu on the mail item
Review the confirmation prompt and click the red Redact button to confirm
How to redact scans in bulk
From the mailroom, select the pieces of mail you'd like to redact using the checkboxes
Click Redact in the bulk actions toolbar
Review the items in the checkout-style flow:
Eligible items appear in the main list
Items that can't be redacted appear under Unavailable mail with a reason (e.g. Previously redacted or Requires scanning)
Click Redact X pieces of mail to submit
What happens next
Once you redact, the original scan is permanently removed from Stable and replaced with a generic redacted notice. The mail item will show a Redacted badge so you and your team can tell at a glance, and you can track redaction activity in the mail item's timeline.
Good to know
Redaction is permanent โ once a scan is redacted, the original cannot be recovered
Only the contents of the scan are removed. The envelope image and external mail details (sender, recipient, dates, tracking, etc.) are not affected
Once redacted, mail cannot be rescanned
You can filter for redacted (or not redacted) mail in the mailroom using the Redacted filter
